Attendance & Cancellation Policy for Silver Lining Acupuncture



LATE CANCELLATIONS AND MISSED APPOINTMENTS

Situations that will incur a $50 fee:

1. Appointments that are cancelled with less than 24 hours before the appointment time.

2. Appointments to which a patient does not come at all.

3. Appointments to which a patient arrives 15 minutes or more after the scheduled appointment time.

4. Initial appointments to which a patient arrives without completing all online intake forms in advance.

Please be aware that late cancellations and missed appointments have a big impact our small business and impair our ability to offer accessible care. Booking an appointment means you respect our time and understand and agree to our cancellation policy and fees.

When you schedule an appointment, you are reserving a space on our calendar and in our treatment room that is no longer available to our other patients. Our appointments are in high demand and we often have patients on a waiting list. A late cancellation or missed visit leaves a hole in our day that could have been filled by someone one.

You may cancel or change your appointment up to 24 hours in advance of your appointment via the “manage my appointment” link in your confirmation email. An email, voicemail, or text sent regarding cancellation with more than 24 hours notice will also count as a proper appointment cancellation.


Patients who provide less than 24 hours notice, or miss their appointment, will be charged a $50 no show/late cancellation fee. Those who are experiencing extenuating circumstances may contact us directly at (503) 862-8835 to advise us. Exceptions to the policy would include a personal or family emergency, including illness / covid-19 symptoms, family tragedy, and inclement weather conditions. 

Our billing department will charge the method of payment on file for the $50 no show/late cancellation fee. Late cancellation fees and missed appointment fees are NOT billable to your insurance regardless of your benefit coverage – you are personally responsible for paying this fee. 

LATE ARRIVALS

Please be sure to arrive on time as lateness will affect your time in session. We operate on a fully booked schedule and have very little wiggle room for last minute accommodations. For this reason, late arrivals will not result in later appointment ending times. 

If you are more than 15 minutes late, we cannot guarantee that you will be seen on that day. If you arrive more than 15 minutes past the start of your appointment time, you have the option of texting us to inquire if you are able to attend a shortened session within your reserved time. It is at the discretion of your practitioner whether or not they will still be able to meet with you or if you will need to reschedule and pay the missed appointment fee.

INTAKE FORMS

All intake forms must be completed online within 24 hours before prior to your initial appointment. Forms are accessed by clicking the “manage my appointment” button in your confirmation email. We do not offer the option to complete your forms in the office upon arrival. Online forms work best when filled out on a computer using Chrome browser. If you do not complete the intake forms before your appointment time, your appointment will be cancelled and subject to the $50 late cancellation fee. 

APPOINTMENT REMINDERS

Appointment reminders are sent out 72 and 26 hours in advance via email. Additional reminders are sent out 48 hours and 2 hours in advance via text. Please notify the office if you have not been receiving reminders. We offer appointment reminders as a courtesy to our patients. If you do not receive an appointment reminder or have unsubscribed from this service, you are still responsible for your appointment.

DISMISSAL FROM OUR PRACTICE

New patients with a scheduled initial appointment who late cancel or no show twice will be charged the $50 cancellation fee each time, and will not in most cases be able to reschedule a third time. 

Established patients who late cancel or no show two times in a row; or three times within a 6 month period; will be charged the $50 cancellation fee each time. Such patients will lose any regularly scheduled appointment slots and will be permitted to schedule same day appointments only. If the same day appointment is missed or late cancelled, such patients will be charged the $50 cancellation fee and will be referred to a provider outside of Silver Lining Acupuncture.

Silver Lining Acupuncture aims to combat the systemic structures that make health care cost-prohibitive for many people in this society. We are committed to supporting our community by creating accessible, client-centered care for as many as we are able.  Please be aware that late cancellations and missed appointments greatly impact our small business and impair our ability to offer efficient and accessible care to you and other members of our community. 

If you are covered by OHP and unable to pay the cancellation fee, please be advised: New patients who late cancel or no show for the initial appointment will not in most cases be able to reschedule a second time. Established patients who late cancel or no show two times in a row; or three times within a 6 month period; will lose any regularly scheduled appointment slots and will be referred to a provider outside of Silver Lining Acupuncture.
